[A] Budget: Looking for Proposal
[B] Scope of Service:
(1) Vendor needs to provide record digitization services using scanning resolution at 300 DPI in PDF, OCR and ICR file format.
- Physically digitize historic paper building permits and associated documents and drawings into searchable PDF/A format with Optical Character Recognition (OCR) and Intelligent Character Recognition (ICR), or recommended format
- Supply of 100 banker boxes to transport files
- Create a workflow and tracking system to document each file through the scanning process from packaging, disassembly, scanning, file consolidation, reassembly, and file return
- Develop metadata requirements for digitized records to deliver User Interface and System Interface
- Protect files and data against loss, theft, damage, and unauthorized access at all times
- Files will be digitized and stored in Electronic Document and Records Management System.
(2) Approximately work volume will be 58,950 building permit files (average of 20 sheets of paper per file), representing 655 boxes (based on 1,800 sheets per box). Total estimate number of images is 1,296,900 images (including 10% duplex). In addition, there are an estimated 3,000 large scale drawings and 700 boxes of records to be digitized.

- Onshore (Canada Organization Only);
[D] Work Performance:
Performance of the work will be Offsite. Vendor needs to carry work in their office location.
