[B] Scope of Service:
Vendor needs to provide academic accommodation solution.
- The University is seeking a proponent with extensive knowledge and experience to provide a solution that helps us to perform a wide range of administrative tasks in an efficient manner, and that integrates: • Accommodations • Exam bookings • Appointment bookings • Student files • Faculty portal • Note taking • Forms, approvals and communication • General data management and workflow tracking
- The solution must be designed to meet the unique needs of a large and dynamic accessibility office.
- The system must result in efficiencies in our workflow, particularly with regards to record keeping, appointments, collaboration, and communicating with students and faculty.
- Exam bookings must be managed with a simple user interface for students, with robust features for staff, and largely automate the process of assigning seats.
- The solution must be accessible for persons with a wide range of abilities, be designed to minimize errors and confusion, and improve satisfaction of system users. This includes more time with staff looking at students and less time looking at computer screens.
- Students and faculty must be able to easily access the data they need and perform key functions with minimal coaching or assistance.
- The solution will support our growth in demand for services in the future, while allowing frontline staff to focus attention on meeting students’ needs rather than the technology for doing so.
- The system must be able to:
a. Be configured to accommodate some of the unique characteristics of the University of Guelph, the institutional data we routinely use, Canadian spelling, and local terminology.
b. Regularly import and export data, with robust reporting features that do not require advanced technical expertise.
c. Facilitate tracking of tasks that require follow-up, data that has expired, and alerts for sensitive issues.
d. Easily move email correspondence into a student’s file, generate email messages for routine functions, and create PDF letters using templates,
e. Hide or turn off features/fields that are irrelevant in the Guelph context and/or confusing to students and faculty.
[C] Eligibility:
- Onshore (Canada Organization Only);
[D] Work Performance:
Performance of the work will be Offsite. Vendor needs to carry work in their office location.
