[A] Budget: Looking for Proposal
[B] Scope of Service:
(1) Vendor needs to provide document collaboration software that simplifies the document review, co-authoring and redaction process, giving users complete control over co-authoring and reviewing while working with highly sensitive information between ministry staff, management, and executives.
- Collaboration software should simplify the process, giving users complete control over co-authoring, reviewing and approving. Collaborating with both colleagues and third parties, it should equally secure and protect sensitive information, whether in the office or working from home.
- Increase automation using workflows and document management functions through entire document development lifecycle
- Provide secure, modern authentication, preferably with active directory or azure active directory integration as the Identity provider
- Provide authorization controls to assign user roles and permissions to documents and sections within a document
- Enhanced system alert and notification capabilities
- Ability to approve digitally to minimize manual exchange of physical paper
- Minimize printing paper for document review
- Restrict printing and downloading documents based on user permissions and location with watermark capability
- Enable online collaboration and edits
- Enhanced security posture to ensure security policies are followed as per high sensitivity application hosting requirements.
- Ability to review and approve sections of content digitally
- Document collaboration software should save valuable time and effort in conducting document reviews
- The real-time document collaboration software solution should support every stage of the workflow.
- Must be able to continue watermarking a section of information printed.
- Ability to review contributed data without having to compile a Word document for physical review/edits.
- Ability control review or editable sections
- Ability to export comments or changes into a report for version comparison.
- Ability to restrict or assign functions by user or group
- Ability to create roles with specific permissions
- Ability to export an “audit log” of user access to information into a report.
- Ability to mark sections of a document as Read only
- Ability to remove Admin teams’ access to assigned data as process progresses to review or approval stage.
- Ability to export data from application in multiple formats i.e.: PDF or Word or Other
- Ability to export audit log or access information into a report
- Ability to review entire document on demand for executive review of information must be in a Word Document style. Easy to scroll through information or navigate. Must not be hard to navigate digitally
- Ability to create or send a notification that a section of information is ready for approvals.
- Capability to assign administrative oversight to a broader group
- Ability to remove admin teams’ access to assigned data as process progresses to review/approval stage.
- Ability to input PowerPoint slide Excel charts and export for review or edit or reporting purposes.
- Ability to audit the creator or generator of the hard copy of the document Printed material, screen scrapes, etc.
(2) All question must be submitted no later than April 20, 2022.
