[A] Budget: Looking for Proposals
[B] Scope of Service:
(1) Vendor needs to provide after-hours live call answer of all incoming telephone calls to town animal services and either dispatch to the on-call officer (for calls with circumstances that meet the emergency protocol) or forward the information to animal services via email (for call s with circumstance that do not meet the emergency protocol).
- The answering service is required to answer all incoming phone calls;
- Monday to Thursday from 4:30pm to 8:30am the following day, and
- Friday from 4:30pm to Monday 8:30am, and
- For the 24-hour period of all statutory holidays (within the Province of Ontario), and
- The days the animal control offices are closed, and
- Any time the staff are away from the phones, due to staff shortages, meetings, etc.
(2) approximate work volume will be 76 calls per month, consisting of an average of 48 emergency calls and 28 non-emergency calls.
- The Town estimates that the monthly usage required will be on average 500 minutes per month, which includes the initial resident call to the company, the officer’s dispatch by the company and the call back from the town staff.
(3) All questions must be submitted no later than February 18, 2022.
(4) Contract term will be one year.
