[B] Scope of Service:
(1) Vendor needs to provide voice over internet protocol phone system.
- The proposed hosted VoIP solution must provide a unified communication platform connecting staff internally and externally wherever Internet is available on different devices.
- The hosted VoIP solution provides an easy-to-use web-based interface allowing nontechnical staff to conduct routine operations such as, but not limited to, managing users, extensions, voicemails, auto attendant messaging, voice prompts and running analytics reports such as volume of calls, number of calls dropped, numbers transferred, duration of calls etc.
- The hosted VoIP solution should also support analog lines.
The hosted VoIP solution, can either be implemented as:
- Separate independent systems deployed at each site which will be connected to each other to allow, but not limited to, roaming extensions, calling other sites extensions directly without the need to dial a phone number first, etc., or as
- One system deployed at each site which allows, but not limited to, roaming extensions, calling other sites extensions directly without the need to dial a phone number first, etc.
- The System Software, which forms the technology foundation of the Hosted VoIP solution should provide communication functionalities and features.
- The Hosted VoIP solution supports advanced administration functions using user-friendly web browser interface.
- The management system should be operated using web browser interface, formatted screens, pull down menus, valid entry choices, templates, transactions, scheduling, and database import/ export. The centralized management system should also provide diagnostic and health status of the system. The centralized management system should have different levels of access, such as system administrator, system operator or power user.
- Hosted Call Recording for Inbound and Outbound calls – with free unlimited call recording space preferred. If this is not possible, at minimum 2GB of call recording space available
- Cordless or Wireless phones – Ability for staff in examination rooms to port phone hardware closer to client to support clients with hearing disabilities.
- Capacity to Call Record both Inbound and Outbound calls – with capacity to have call record activated automatically for inbound and outbound calls of certain extensions
- International and Long-Distance Capability both on-site & remote work – Administrator capability to restrict who can make international and long-distance calls.
- The Hosted VoIP solution supports its own proprietary endpoint devices, including but not limited to: IP Attendant Console, IP Desk Phones, IP Softphones, Mobile VOIP applications, VOIP gateways and SIP adapters.
- Mobile VOIP application must be compatible with the Hosted VoIP solution, which can be a proprietary or open-standard application. Should the mobile VOIP application require licenses for use, such licenses should be perpetual and without annual license fee.
- Compatible with Android 4.0 or above, Apple IOS 7.
(2) A mandatory site visits will be held on December 6, 2021.
(3) All questions must be submitted no later than December 17, 2021.
