[B] Scope of Service:
Vendor needs to provide a comprehensive, industry-leading, highly available SaaS case management solution to manage its legal files, documents, and daily operations.
- The selected SaaS case management solution will replace a legacy system that has reached end-of-life. It will be fully compliant and capable of storing and handling highly sensitive documents and file information. The solution will consist of robust functionality in legal file management, document management, docketing, timekeeping, finance, billing, reporting, and analytics. The solution will support role-based access and be able to:
- Open and electronically manage the lifecycle of legal files including the ability to store key file information and metadata
- Store and manage electronic records pertaining to a matter, including communication (i.e. e-mail), in a manner that manages conflicts of interest without unduly inhibiting collaboration or sharing
- Track key events throughout the lifecycle of a legal file, this could include court deadlines, court dates and internal milestones
- Docketing (timekeeping) functionality to identify the amount of time and activity spent on a legal file
- Generate electronic billings and bills of legal costs for court (where desired) based on docketed time and applicable disbursements
- Generate analytic reports about data within the application, this could include role-based dashboards and on-demand reporting
- Support potential for multiple data sources in the future
- Integration with MS Office suite and OPS corporate technologies including identity and access management and incident management bridge.
- Ability to have configurable fields for tracking court information for the file -e.g., court judge, date of decision being appealed, reasons for judgment, type of judgment, legal parties in the court, publication bans, bail orders etc.
- Ability to add searchable issues in relation to any file/case (e.g., procedural or legal)
- Ability to have a shared calendar at branch/group level for entering/viewing Court dates. Alternatively, ability to integrate with existing shared Outlook group calendar, for viewing Court dates
- Ability to upload electronic documents and associate them with an existing file
- Ability to consolidate multiple document submissions within the file.  Over the course of the case, the client or external parties may deliver multiple submission packages of documents and records, sometimes years apart. Having easy access to all data from multiple submissions within a single client file/case is essential for many of our business processes.
- Ability to support (upload/download) multiple electronic file formats - e.g., PDF, PowerPoint, images, videos, spreadsheet, word processing formats
- Ability to index and search all documents. Support flexible search criteria (preferably with Boolean and natural language capacity) and filtering options
- Ability to docket time against a task/activity in a file, directly against a file or directly against a group of files

Performance of the work will be Offsite. Vendor needs to carry work in their office location.
